1. Who We Are
Side by Side Systems ("we", "us", "our") is a UK-based business that helps founders build, own and run the revenue systems of their business. We operate Modern Founder OS (a paid membership platform), provide done-for-you outreach and CRM builds, run paid workshops, and offer 1:1 consultations.
We are the data controller for the personal data we collect through:

- The Modern Founder OS waitlist
- Modern Founder OS (the platform itself, once live)
- Workshop sign-ups and bookings
- DFY proposals, onboarding, and client work
- Our cold outreach campaigns (sales/marketing)

2. What Data We Collect
Data you provide directly
- Contact details: name, email address, phone number
- Business information: company name, job title, website URL, LinkedIn profile URL, annual revenue range, industry, services offered
- Waitlist signup: name, email, business stage, agency history, which module you want to learn first, and an optional free-text answer about what you want to solve or build
- Payment information: card details are entered directly into Stripe (our payment provider) and never stored on our servers
- Communication data: messages, emails, replies, and Loom recordings you send to us
- Strategy and onboarding data: information shared during strategy calls, onboarding forms, and your participation in Modern Founder OS or DFY work
- Platform usage data: which modules and lessons you access, your progress, content you save, comments you post in the community
Data collected automatically
- Website usage data: pages visited, time on page, referral source, browser type, device type
- Analytics: anonymous metrics via Vercel Analytics (no personal identifiers, no cross-site tracking)
- Email engagement data: open rates, click rates, and reply data from emails we send you
Data from third-party sources
- Lead sourcing data: publicly available business information collected via LinkedIn, company websites, and business databases for our outbound campaigns
- Enrichment data: verified business contact details obtained through data enrichment services (e.g. Clay, FindyMail, Million Verifier, Apollo)
3. How We Use Your Data

4. AI Processing
We use artificial intelligence tools (primarily Anthropic's Claude) as part of our services and internal operations:
- AI-assisted communication and content drafting: AI tools may help draft cold outreach copy, lesson content, replies, and internal documents. A human reviews all customer-facing communication before it is sent.
- AI-powered platform tools: Modern Founder OS includes AI tools that help members write campaigns, score ICPs, build knowledge bases, and analyse results. These tools process the business data you input.
- AI enrichment and qualification: we use AI to research publicly available business information for lead qualification.
AI processing is carried out using Anthropic's Claude API, which processes data in accordance with Anthropic's data processing terms. No special category data is processed by AI tools.

For transfers outside the UK/EEA, we rely on the UK International Data Transfer Agreement, Standard Contractual Clauses (SCCs), or the provider's participation in recognised data protection frameworks.
We will never sell your personal data to third parties.
6. How Long We Keep Your Data

7. Your Rights Under UK GDPR
You have the following rights regarding your personal data:

- Right to erasure — ask us to delete your data (where there is no legal reason to keep it)
- Right to restrict processing — ask us to limit how we use your data
- Right to data portability — request your data in a machine-readable format
- Right to object — object to processing based on legitimate interest, including direct marketing
- Right to withdraw consent — where processing is based on consent (e.g. waitlist, marketing emails), withdraw it at any time
- Right to lodge a complaint — with the Information Commissioner's Office (ICO) at ico.org.uk

8. Marketing, Waitlist, and Cold Outreach
Waitlist emails (Modern Founder OS)
When you join the Modern Founder OS waitlist, you consent to receive updates from us about the launch, founder pricing, early access, and related product news. Every email includes an unsubscribe link, and you can email us at any time to be removed.
Marketing emails
We only send marketing emails with your consent. Every marketing email includes an unsubscribe link.
Cold outreach (B2B)
We send outreach emails and LinkedIn messages to business contacts using publicly available business information, under legitimate interest (Recital 47, UK GDPR). Every outreach email includes a clear opt-out mechanism. If you ask us to stop contacting you, we will do so immediately and add you to our suppression list.
9. Cookies and Tracking
Strictly necessary
sidebysidesystems.com uses only the cookies and storage that are strictly necessary to make the site and its forms work. These do not require your consent under UK PECR.
Analytics
We use Vercel Analytics to understand how visitors use the site. Vercel Analytics is cookieless by default — it does not set persistent cookies, does not track you across other sites, and does not identify you personally.
Modern Founder OS (the platform)
Once you are signed in to Modern Founder OS, we use cookies and session storage to keep you signed in and remember your preferences. These are necessary for the platform to function.
Third-party cookies
If you click external links (e.g. to YouTube, LinkedIn, Loom), those third parties may set their own cookies governed by their own privacy policies.
Managing cookies
You can control cookies through your browser settings. Blocking strictly necessary cookies may affect site functionality.
10. Data Security
We take appropriate technical and organisational measures to protect your data, including:
- Encrypted data transmission (HTTPS/TLS)
- Access controls and authentication on all systems
- API keys and credentials stored securely (server-side environment variables, never committed to public code)
- Row-level security (RLS) on the Modern Founder OS database to keep member data isolated
- Regular review of third-party processor security practices
- Data minimisation (we only collect what we need)
No system is 100% secure. If a data breach occurs that poses a risk to your rights, we will notify you and the ICO within 72 hours as required by UK GDPR.
11. Children's Data
Our services are designed for business professionals. We do not knowingly collect data from anyone under the age of 18. If you believe we have collected data from a minor, please contact us immediately.
12. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top will always reflect the most recent version. If we make significant changes that affect how we process your data, we will notify you by email or via a notice on the website.
